Unified ERP + e-Invoicing Rollout

§ 01 — The challenge

What needed fixing.

The firm had grown into a 50-person operation still running its books on a desktop accounting tool from 2003 and managing inventory in colour-coded Excel. With MyInvois compliance approaching, they faced either a multinational ERP at five-figure annual licensing or staying on the legacy stack and risking penalties.

§ 02 — Approach

How we built it.

01

Migration

We mapped 15 years of accounting data, three product hierarchies, and a 600-customer ledger into ERPNext over the first two weeks — running both systems in parallel until reconciliation matched to the cent.

02

Modules

Eleven modules went live in stages: accounting, inventory, purchasing, sales, projects, MyInvois, HRMS, leave, payroll, helpdesk, and a WhatsApp pipeline for warehouse confirmations.

03

Compliance

MyInvois was wired to submit, validate, and store every invoice automatically. The accounts team approved the rollout with a four-hour training session and a printed runbook.

§ 03 — Stack

The tools.

§ 04 — Outcome

What shipped.

The firm went live on the new stack six weeks after kickoff, hit 100% MyInvois compliance ahead of the LHDN deadline, and replaced roughly RM 60k/year of licensing and patchwork tooling with a single open-source platform they own outright.
